Terms and Conditions for Accommodation

1. Scope of Application

Accommodation contracts and related agreements to be concluded between macchahouse-nagano (hereinafter referred to as "the Property") and the Guest shall be governed by these Terms and Conditions. Any particulars not provided for herein shall be governed by laws and regulations or generally established customs.

2. Special Contracts

Notwithstanding the provisions of the preceding paragraph, if the Property has entered into a special contract within the scope of laws, regulations, and customs, that special contract shall take precedence.

3. Application for Accommodation Contracts

A Guest who intends to apply for an accommodation contract with the Property shall notify the Property of the following particulars: (1) Name of the Guest(s) (2) Dates of accommodation and estimated time of arrival (3) Other particulars deemed necessary by the Property

4. Conclusion of Accommodation Contracts

An accommodation contract shall be deemed to have been concluded when the Property has accepted the application. However, this shall not apply if it is proven that the Property did not accept the application. When an accommodation contract has been concluded in accordance with the provisions of the preceding paragraph, the Guest shall pay an application fee determined by the Property, up to the amount of the accommodation fee for the accommodation period, by the date designated by the Property.

5. Refusal of Accommodation Contracts

The Property may refuse to conclude an accommodation contract in the following cases: (1) When the application for accommodation does not conform to these Terms and Conditions. (2) When the Property is fully booked and no rooms are available. (3) When the person seeking accommodation is deemed likely to conduct themselves in a manner that would contravene the provisions of laws, public order, or good morals in regard to their accommodation. (4) When the person seeking accommodation is recognized as an organized crime group (Boryokudan), a member or quasi-member of an organized crime group, or an associate or other anti-social force. (5) When the person seeking accommodation is deemed likely to cause significant inconvenience to other guests. (6) When the person seeking accommodation is clearly identified as carrying an infectious disease. (7) When violent demands are made regarding the accommodation, or a burden exceeding a reasonable scope is requested. (8) When accommodation cannot be provided due to natural disasters, facility malfunction, or other unavoidable reasons.

6. Guest's Right to Terminate Contract

The Guest may terminate the accommodation contract by notifying the Property.

7. The Property's Right to Terminate Contract

The Property may terminate the accommodation contract in the following cases: (1) When the Guest is deemed likely to conduct, or is recognized as having conducted, themselves in a manner that contravenes the provisions of laws, public order, or good morals in regard to their accommodation. (2) When the Guest is recognized as an organized crime group, a member or quasi-member of an organized crime group, or an associate or other anti-social force. (3) When the Guest acts or speaks in a manner that causes significant inconvenience to other guests. (4) When the Guest is clearly identified as carrying an infectious disease. (5) When violent demands are made regarding the accommodation, or a burden exceeding a reasonable scope is requested. (6) When accommodation cannot be provided due to force majeure, such as natural disasters.

8. Registration of Accommodation

The Guest shall register the following particulars at the Property on the day of accommodation in accordance with the method specified by the Property: (1) Name, age, address, and occupation of the Guest(s) (2) Date of departure and estimated time of departure (3) Other particulars deemed necessary by the Property (4) The Property may confirm reservations via phone, mail, fax, or email. The Property will not disclose or provide your personal information to third parties unless there is a justifiable reason.

9. Occupancy Hours of Guest Rooms

The hours during which the Guest is entitled to use the Property shall be from 3:00 PM to 11:00 AM the following morning. However, in the case of consecutive stays, the Guest may use the room all day, except on the arrival and departure days.

10. Payment of Fees

The accommodation fees to be paid by the Guest shall be specified separately. Payment of accommodation fees shall be made at the time of reservation using a credit card or other payment methods approved by the Property.

11. Liabilities and Exemptions of the Property

(1) The Property shall compensate the Guest for damage if the Property has caused damage to the Guest in the fulfillment or non-fulfillment of the accommodation contract. However, this shall not apply if the damage is due to reasons not attributable to the Property. (2) The Property shall not be held liable for any damages, device malfunctions, software errors, or communication failures resulting from the Guest's use of computer communications, such as internet connections, within the premises. Furthermore, the Property shall not be held liable for any damages caused by inability to use the services due to system failures, technical issues, or communication interruptions.

12. Handling When Unable to Provide Contracted Rooms

When the Property cannot provide the contracted room to the Guest, the Property shall, with the consent of the Guest, arrange other accommodation facilities under the same conditions as far as possible.

13. Handling of Deposited Articles and Belongings

(1) The Property does not accept or store deposited items. Regarding articles, cash, or valuables brought into the Property by the Guest, the Property shall compensate for loss or damage only if such damage is caused by the intent or gross negligence of the Property. However, this shall not apply if the damage is due to reasons not attributable to the Property. (2) If a Guest’s baggage or personal belongings (hereinafter referred to as "Baggage, etc.") are left behind at the Property after checkout, the Property will, in principle, wait for an inquiry from the owner and seek their instructions. If no instructions are received from the owner, the items will be kept for a certain period and handled in accordance with relevant laws and regulations. However, if there are no instructions or if the owner cannot be identified, the items will be disposed of after being kept for 7 days, including the day they were found.

14. Liability of the Guest

If the Property sustains damage due to the intent or negligence of the Guest, the Guest shall be obligated to compensate the Property for such damage.

15. Governing Law

The interpretation and validity of the accommodation contract based on these Terms and Conditions shall be governed by the laws of Japan.

16. Consultation

If any problem regarding the use of the Property arises that cannot be resolved by these Terms and Conditions, it shall be resolved through good faith discussions between the Property and the Guest.

17. Revision of Terms and Conditions

The Property may modify these Terms and Conditions at its sole discretion. (1) When the Property modifies these Terms and Conditions, a notice of modification, the contents of the modified Terms and Conditions, and the effective date will be posted on the Property’s website at least one month prior to the effective date. (2) If the Guest uses the services of the Property based on these Terms and Conditions after the effective date of the modified Terms and Conditions, the Guest shall be deemed to have agreed to the modifications.

House Rules

1. Use of Facilities

(1) Shoes are strictly prohibited inside the facility except on the balcony. (2) Please check the evacuation route map and emergency exits on each floor posted inside the facility. (3) Please make sure to lock the door from the inside while in the room, especially when sleeping. (4) Smoking is strictly prohibited inside the building. All areas within the facility, including the balcony, are non-smoking. The designated smoking area is located outside the main entrance. (5) The facility must only be used by the guests and the number of people registered in the accommodation reservation. Stays, accommodation, or visits by unregistered guests or different numbers of people are strictly prohibited. (6) The use of open flames, candles, etc., is prohibited inside the facility. For cooking, please use the provided cooking appliances. (7) Do not hang clothes or laundry on lamp shades. (8) Do not use the guest rooms for purposes other than accommodation without the permission of the Property. (9) Making loud noises or partying is prohibited. In consideration of the neighbors, please keep quiet, especially between 8:00 PM and 7:00 AM. (10) Do not take home any interior decorations, fixtures, or amenities provided in the facility. (11) Please use the furniture, appliances, bedding, etc., inside the facility with care. In the unlikely event of damage or staining, please inform us immediately. (12) Do not move furniture, appliances, or fixtures, or install structures or modify the facility without the permission of the Property. (13) Please separate the trash inside the facility and place it in the designated areas. (14) Please take large trash, such as suitcases and strollers, home with you. If there is any remaining waste that cannot be processed as regular trash, you will be charged for disposal costs. (15) Face towels and bath towels are only provided in the initial quantity. No additions or exchanges can be made. If they get dirty, please wash them yourself. (16) Please sit down when using the toilet. Do not flush anything other than toilet paper. Please flush water after use. (17) When going out, please turn off the power of home appliances such as air conditioners, TVs, and lights. Also, please lock the doors and windows before leaving. (18) Accommodation for minors alone is refused unless permission from a guardian is obtained. (19) Check-in is at 3:00 PM, and checkout is at 11:00 AM.

2. Main Entrance Door Key

(1) Please make sure to lock the door when going out during your stay. (2) Do not share the key number with anyone other than the registered guests. (3) Please make sure the door is locked when checking out.

3. Prohibited Items and Actions

(1) Prohibited Items:

  • Pets

  • Gunpowder, volatile oils, and other flammable or ignitable items

  • Items emitting foul odors

  • Items whose possession is prohibited by laws and regulations

(2) Prohibited Actions:

  • Distribution of advertisements/promotional materials, sales of goods, solicitation, etc., without the permission of the Property.

  • Photography or video recording for commercial purposes without the permission of the Property.

  • Smoking outside of designated smoking areas within the Property and surrounding neighborhood.

4. Revision of House Rules

The Property may modify these Rules at its sole discretion. When the Property modifies these Rules, a notice of modification, the contents of the modified Rules, and the effective date will be posted on the Property’s website at least one month prior to the effective date. If the Guest uses the services of the Property based on these Rules after the effective date of the modified Rules, the Guest shall be deemed to have agreed to the modifications. The interpretation and validity of these Rules shall be governed by the laws of Japan.

Price List

  • 1 Night: 86,000 JPY (tax included) | 3:00 PM to 11:00 AM the following day

  • House Cleaning Fee: 3,000 JPY

  • Wi-Fi: Free

  • Large Screen TV (Netflix/YouTube available): Free

Others

  • Additional charges may apply if the number of guests exceeds the reservation or if false declarations are made.

  • In the event of damage or staining to furniture, appliances, bedding, etc., a compensation fee equivalent to the price of a new replacement item will be charged.

  • If the toilet is clogged, please contact us immediately. If the clog is caused by something other than toilet paper, you may be charged for the actual cost of repairs.

  • Long-term stays do not grant any legal residential rights.

In Case of Rule Violations

  • Smoking inside the building: House Cleaning Fee of 100,000 JPY

  • Bringing pets (Violation): House Cleaning Fee of 100,000 JPY

  • Loss of key: Key replacement fee of 80,000 JPY

  • For other damages caused to the Property, the actual costs will be billed.

Cancellation Policy

An accommodation contract is deemed to be concluded at the moment the reservation is completed.

Cancellation fee

From two weeks to four days prior to the date of stay: 50% of the accommodation fee

From 3 days prior to the day of arrival: 100% of the accommodation fee

We will refund the amount minus the cancellation fee via bank transfer within 14 days of the cancellation being confirmed.

*Please note that bank transfer fees will be borne by the customer.

  • When providing information to subcontractors within the scope necessary to achieve the purpose of use

  • When the business is succeeded due to a merger, business transfer, or other reasons

5. Management of Personal Information

The Company manages customers' personal information appropriately and takes the following measures to prevent loss, alteration, or leakage:

  • Development of internal regulations regarding personal information protection

  • Appointment of a personal information protection manager

  • Training for employees regarding personal information protection

  • Technical measures such as access restrictions and encryption

6. Disclosure, Correction, and Deletion of Personal Information

Customers may request the disclosure, correction, or deletion of their own personal information from the Company. If you wish to do so, please contact the inquiry desk listed below.

7. Changes to the Privacy Policy

The Company may change this Privacy Policy without prior notice due to amendments to laws and regulations or changes in our business content. The revised Privacy Policy shall become effective at the time it is posted on the Site.
